Overview:
We’re looking for a highly organized and personable Receptionist / Scheduling Coordinator to manage phone calls and assist with scheduling appointments across multiple territories. This role is ideal for someone who thrives in a fast-paced environment, can juggle competing priorities, and communicates clearly with both clients and internal teams.

Key Responsibilities:
  •  Serve as the first point of contact for incoming calls, emails, and inquiries.
  • Coordinate and schedule appointments across multiple regions and time zones.
  • Maintain and update calendars for multiple team members or departments.
  • Confirm appointments, send reminders, and handle rescheduling as needed.
  • Ensure efficient routing of appointments based on territory, availability, and priority.

Qualifications:
  • Proven experience in a receptionist, administrative, or scheduling role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication.
  • Ability to manage multiple calendars and systems simultaneously.
  • Proficiency with scheduling software and office tools (e.g., Outlook, CRM systems).
  • Attention to detail and problem-solving mindset.
  • Ability to remain calm and professional under pressure.

Preferred:
  • Experience coordinating across multiple territories or time zones.
  • Familiarity with CRM or dispatching systems.
  • Customer service background.
