Overview:
We’re looking for a highly organized and personable Receptionist / Scheduling Coordinator to manage phone calls and assist with scheduling appointments across multiple territories. This role is ideal for someone who thrives in a fast-paced environment, can juggle competing priorities, and communicates clearly with both clients and internal teams.
Key Responsibilities:
- Serve as the first point of contact for incoming calls, emails, and inquiries.
- Coordinate and schedule appointments across multiple regions and time zones.
- Maintain and update calendars for multiple team members or departments.
- Confirm appointments, send reminders, and handle rescheduling as needed.
- Ensure efficient routing of appointments based on territory, availability, and priority.
Qualifications:
- Proven experience in a receptionist, administrative, or scheduling role.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication.
- Ability to manage multiple calendars and systems simultaneously.
- Proficiency with scheduling software and office tools (e.g., Outlook, CRM systems).
- Attention to detail and problem-solving mindset.
- Ability to remain calm and professional under pressure.
Preferred:
- Experience coordinating across multiple territories or time zones.
- Familiarity with CRM or dispatching systems.
- Customer service background.
